What is Matrack TMS?

Enter where it's picking up, where it's delivering, what's in the truck, and how much you're getting paid. The system tracks it from start to finish.

Logging In

Logging Out

When you're done for the day, look at the bottom of the left menu — you'll see your name and role displayed there. Click the logout icon next to your name to sign out safely. Always log out when using a shared or public computer.

Dashboard — Your Home Page

The Dashboard is the first thing you see when you log in. Think of it as your morning briefing — a quick look at how your business is doing right now, without having to dig through anything.

Summary Cards (Top of Page)

Two big cards sit at the very top and give you an instant snapshot:

A calendar view of the current week. Click any day to see:

  • How many drivers were active that day
  • How many loads were booked
  • How many loads were delivered

Great for spotting busy days and planning ahead for the rest of the week.

Visual graphs that turn your data into insights:

  • Load Activity — Booked vs. delivered over time
  • Fleet Health — Active vs. idle vs. maintenance
  • Top Routes — Your most popular lanes this month

Live Data Tables

The bottom half of the Dashboard shows three live data panels so you always know what's moving:

Pro tip: Start every day on the Dashboard. It takes 5 seconds to scan and you'll know immediately if anything needs your attention — overdue loads, idle trucks, or drivers without assignments.

Loads — The Heart of Your Business

Every time you agree to haul freight from point A to point B, that's a load. A load captures everything about the shipment: who's sending it (Shipper), who's receiving it (Consignee), what's in the truck, when it needs to move, and how much you're getting paid.

This is probably the section you'll use the most, so let's walk through it carefully.

Your Loads Get Posted to Major Loadboards!

When you create a load in Matrack TMS, we automatically post it to top loadboards for you. Your loads get maximum visibility and you can find available trucks faster — all without posting to each board separately.

Words You'll See on the Screen

You'll run into some abbreviations and trucking terms throughout the system. Here's what they mean in plain English:

FTLFull Truck Load — The freight takes up the whole truck. One shipper, one delivery, no sharing space.
LTLLess Than Truckload — The freight doesn't fill the whole truck. It might share space with other shipments.
ShipperThe company or person sending the goods. This is your pickup stop.
ConsigneeThe company or person receiving the goods. This is your delivery stop.
BOL #Bill of Lading number — Think of it as the shipment's receipt. It's a document that says what's being shipped, where it's going, and who's responsible. Your broker or shipper usually gives you this number.
P/LPickup Location — The city and state where freight gets picked up.
D/LDropoff Location — The city and state where freight gets delivered.
FCFreight Class — A number from 50 to 500 that categorizes the type of freight. We explain this in detail below — it's simpler than it sounds.
Hauling FeeThe main rate for the load — what you're getting paid to move this freight.
Fuel SurchargeAn extra charge on top of the hauling fee to cover diesel costs. Not every load has one — it's optional.
Accessorial FeeAny additional charges like detention (waiting time), lumper fees (help unloading), liftgate, or special handling.
Declared ValueHow much the freight is worth in dollars. This is used for insurance purposes.

What is Freight Class (FC)?

When you create a load, the system asks for a Freight Class. This is just an industry-standard way to categorize what's in the truck. It's a number from 50 to 500.

The simple rule: heavy, dense, easy-to-handle stuff = low class number = cheaper to ship. Light, bulky, fragile stuff = high class number = more expensive to ship.

Four things determine the class:

  • How dense is it? — Heavy for its size (like bricks) gets a low number. Light for its size (like pillows) gets a high number.
  • Can you stack it easily? — Easy to stack = lower class.
  • Does it need special handling? — The more care it needs, the higher the class.
  • Could it get damaged or stolen? — Higher risk = higher class.

Not sure what class to pick? Ask your broker — they'll usually tell you. If you really don't know, just select "NA" and move on. You can always update it later.

Where is My Load? — Understanding Status

Every load has a colored status label so you can tell at a glance where it is in the process. Here's what each one means:

Draft You started entering the load but it's not live yet. Maybe you're waiting on details from the broker. Go back and finish filling it out, or activate it when you're ready.
Active The load is confirmed and ready to go. It's waiting to be assigned to a driver and truck. Create a Dispatch to assign a driver and truck to it.
Undispatched The load is active but hasn't been dispatched yet, or it's currently in transit. Check if it needs a dispatch, or just keep an eye on it until delivery.
Completed The freight has been delivered. This load is done! Time to get paid — create an invoice if you haven't already.
Deleted The load was cancelled. The shipment isn't happening. Nothing to do. It stays in the system for your records but won't show up in active views.
The typical flow: You create a load (Draft) → confirm it (Active) → assign a driver (Dispatched) → it gets delivered (Completed) → you invoice the broker. That's the whole cycle.

Finding Your Loads

Go to Loads → Manage your Loads to see all your loads. At the top of the page there are filters to help you find what you're looking for:

  • Duration — Quick time ranges like "Next 1 Week" or "Next 3 Months." Pick one and the dates fill in for you. Choose "Custom Date" if you want to pick your own dates.
  • Status — Show only loads in a certain status (Active, Draft, Completed, etc.) or pick "All Loads" to see everything.

Click "Search" to apply your filters. Click "Reset" to clear everything and start over.

The results show up in a table. Here's what each column means:

  • Load ID — A unique number the system gives each load
  • Creation Date/Time — When the load was entered into the system
  • Bill To — Who you're billing for this shipment (the shipper's name)
  • P/L — Pickup Location (city & state)
  • D/L — Dropoff Location (city & state)
  • Miles — How far the shipment is
  • Charges — The hauling fee you're getting paid
  • Status — Where the load is in the process (Draft, Active, Completed, etc.)
  • Dispatch — The reference number if a driver and truck have been assigned
  • Action — Buttons to edit (pencil icon) or cancel (X icon) the load

How to Create a New Load

Go to Loads → Manage your Loads and click the "Create Load" button in the top-right corner. (You can also click "Create Load" from the Dashboard quick actions.)

The form has 5 sections. Just fill them in from top to bottom. Don't worry — if you miss anything, the system will tell you before it saves.

Section 1: Basic Load Info

Start by telling the system what type of load this is.

Truckload Pick FTL if the freight takes up the whole truck, or LTL if it's a partial load. Most of the time, your broker will tell you which one.
Load Creation Date/Time Usually today's date and time. If you're pre-booking a load for next week, set it to that future date.
Reference # Enter a tracking number so you can find this load later. This could be the broker's reference number or your own internal number. Example: BRK-20260217-001

Section 2: Pickup Information (Shipper)

Where is the driver picking up the freight? Enter the shipper's details here.

Section 3: Delivery Information (Consignee)

Where is the freight going? Enter the receiver's details here. It's the same fields as the pickup, just for the delivery side.

Section 4: What's in the Truck? (Freight Details)

Describe the freight — how heavy, how big, what kind, and how much it's worth.

Declared ValueWhat's the freight worth in dollars? This is for insurance. Example: 15000 (meaning $15,000)
DescriptionDescribe what's being shipped. Be specific. Example: 12 pallets of canned tomato products, non-hazardous, ambient temp

Section 5: How Much Are You Getting Paid? (Charges)

Enter the money side of the load.

Hauling FeeThe main rate for this load — what you agreed on with the broker. Example: 3500 (for $3,500)
Fuel SurchargeExtra charge for fuel, if you negotiated one. This is optional — leave it blank or enter 0 if there's no surcharge.
Accessorial FeeAny additional charges like detention, lumper fees, or special handling. Enter 0 if there aren't any.

Hit Submit — You're Done!

  1. Scroll through the form one more time to make sure everything looks right. If anything is missing, the system will highlight it in red.
  2. Click "Submit" at the bottom.
  3. If there's a problem, a popup will tell you exactly what to fix. Just correct it and submit again.
  4. When it saves successfully, you'll see a green success message and you'll be taken back to the loads list where your new load is now showing.
What's next? Now that the load is in the system, you need to assign a driver and truck to it. Head over to Loads → Manage Dispatch → Create Dispatch and pick the load you just created. More on that in the Dispatch section.

Need to Change Something? How to Edit a Load

Made a mistake or need to update something? No problem:

  1. Go to Loads → Manage your Loads and find the load you want to change.
  2. Click the pencil icon in the Action column.
  3. The form opens with everything already filled in. Just change what you need.
  4. Click "Submit" to save your changes.
You can edit loads that are in Draft or Active status. Once a load is marked Completed or Cancelled, it's locked. If you really need to change a completed load, reach out to your admin.

Cancelling a Load

If a load falls through and the shipment isn't happening:

  1. Find the load in Loads → Manage your Loads.
  2. Click the X icon in the Action column.
  3. Confirm that you want to cancel. The load will be marked as Cancelled.
Heads up: You can't undo a cancellation. The load will stay in your records (you can find it by filtering for "Deleted" status) but it can't be re-activated. Make sure you really want to cancel before confirming.

Quick Tips — Avoid These Common Mistakes

  • Delivery date before pickup date — The system won't save it. Always make sure the delivery date is after the pickup date.
  • Leaving freight class as "NA" when you know it — It can affect pricing on LTL loads. Ask your broker if you're not sure.
  • Phone numbers that are too short — You need at least 7 digits. Include the area code.
  • Putting $0 for hauling fee — The load won't show any revenue in your reports. Always enter the actual rate.
  • Forgetting to dispatch the load — Creating a load doesn't assign a driver. You need to go to Dispatch and assign a driver and truck separately.

Dispatch — Assigning Drivers to Loads

You've created a load. Now you need to tell the system who's driving it and what truck they're using. That's what Dispatch does. Until you dispatch a load, it's just sitting there with no driver assigned.

Viewing Your Dispatches

Go to Loads → Manage Dispatch to see all your dispatches. Filter by time range and status to find what you need.

How to Dispatch a Load

Go to Loads → Manage Dispatch → Create Dispatch and follow these steps:

  1. Pick the Load — Select the load you want to dispatch from the dropdown. This links everything together.
  2. Add Notes (optional) — Any special instructions for this dispatch.
  3. Assign the Driver and Equipment — Click "Add" to create an assignment row, then fill in:

Multi-leg trips? Click "Add" again to create another assignment row for additional drivers or stops. Remove rows by clicking "Remove."

Click "Submit Dispatch" and you're done. The driver and truck are now assigned to that load.

Load Matching — Find Available Loads

Load Matching is your built-in load board. It pulls available loads posted by shippers, brokers, and other companies across the industry so you can find freight for your trucks. Instead of searching multiple external boards, browse everything from right inside TMS. Go to Loads → Load Matching.

Searching for Loads

When you open the page, you'll see loads posted by companies looking for carriers. Use the filters to narrow down exactly what you need:

  • Time Range — Filter by pickup window (next week, next month, custom dates)
  • Origin & Destination — Search by pickup and delivery locations to find loads on your preferred lanes

Click "Search" and the results show a table with each load's pickup and delivery locations, departure date, freight class, miles, and rate. This lets you compare loads and pick the ones that make the most sense for your fleet.

Finding the Right Freight

Load Matching helps you keep your trucks moving instead of running empty. Use it to:

  • Fill empty trucks — Got a driver finishing a delivery in Atlanta with no load home? Search for loads heading back your way.
  • Compare rates — See what different loads are paying per mile so you can pick the best-paying freight.
  • Plan ahead — Look at upcoming loads for next week to schedule your drivers efficiently.
This page is for browsing. When you find a load you want, you'll book it with the broker or shipper directly, then create the load in your system and dispatch a driver to it.

Equipments — Your Trucks & Trailers

This is your complete fleet inventory — every truck and trailer your company operates. Go to Equipments → Manage your Equipments to view, add, and manage your vehicles.

Your Fleet Table

The equipment list shows all your vehicles in a table. Use the Type and Status filters at the top to narrow down what you see. Click the expand arrow on any row to reveal extra details without leaving the page.

Adding a Truck

Click "Create Truck" at the top-right and fill in the vehicle details:

Click "Submit" and the truck is added to your fleet.

Adding a Trailer

Click "Create Trailer" and fill in similar fields, plus these trailer-specific ones:

All other fields (weight, dimensions, photo, documents) work the same as trucks.

Editing or Disabling a Vehicle

Click Edit next to any vehicle to update its details in a slide-out panel. Make your changes and click "Save Changes" when done.

EditOpens a side panel where you can update any field — unit number, VIN, weight, documents, etc.
DisableTakes the vehicle offline. Data syncing stops. Use this for trucks/trailers out of service or sold.
EnableBrings a disabled vehicle back online. Data syncing resumes immediately.
Heads up: Disabling a vehicle stops GPS tracking and data syncing for it. Only disable trucks or trailers that are truly out of service, sold, or no longer in your fleet.

Fuel Expense — Track Every Fill-Up

Every time a driver fills up, log it here. This keeps all your fuel receipts organized in one place — essential for IFTA reporting and knowing exactly what you're spending on diesel. Go to Accounting → Fuel Expense.

How to Log a Fuel Receipt

Click "Add fuel receipt" in the top-right corner and fill in the details:

Finding Past Fuel Entries

Use the filters at the top to search your fuel history:

IFTA tip: At the end of each quarter, filter by date range for that quarter. You'll have all the gallons-per-state data you need for your IFTA filing in one place.

Other Expense — Track Everything Else

Fuel isn't your only cost of doing business. Repairs, tolls, insurance, tires, permits — log them all here so you have a complete picture of your spending. Go to Accounting → Other Expense.

How to Log an Expense

Click "Add Expense" and fill in the details:

Expense Categories

The system has built-in categories so your reports break down spending clearly:

Why categories matter: When you run the Expense Report, you'll see spending broken down by category. This makes it easy to spot where your money is going — are you spending too much on repairs? Are tolls eating into margins on certain routes?

Invoices — Get Paid for Your Work

After you deliver a load, you need to invoice the broker or customer. This is where you create, track, and manage all your invoices. Go to Accounting → Invoices.

How to Create an Invoice

Click "Add Invoice" and fill in the invoice form:

Click "Add Row" to add more line items (fuel surcharge, detention, etc.). Delete any row with the trash icon. The Grand Total at the bottom updates automatically.

Click "Generate Invoice" to save it.

Invoice Statuses

Every invoice has a status so you can track where it stands at a glance:

Emailing an Invoice to a Broker

You can send an invoice straight to your broker without leaving the portal:

  1. Find the invoice in your list and click "Email to Broker"
  2. Enter the broker's email address
  3. Click "Send" — the invoice is delivered as an email
Delivery confirmation: Check the Email Log to see if the broker received and opened your invoice email.

Other Income — Non-Invoice Revenue

Got paid for something that isn't covered by an invoice? Bonuses, refunds, detention pay, accessorial income, or revenue from side services — log it here so your Revenue Report shows a complete picture. Go to Accounting → Other Income.

How to Log Other Income

Click "Add Income" and fill in the details:

Why log this? Any income you don't record here won't show up in your Revenue Report. That means your profit numbers will look lower than they actually are. Log everything so you see the full picture.

Reports — See How Your Business Is Doing

Reports turn all the data you've been entering into useful insights. Pick a date range, and the system does the math for you. Go to Reports in the sidebar.

Fuel Report

See exactly how much each truck is spending on fuel. Filter by time range and specific trucks, or view the entire fleet.

Expense Report

Shows all your expenses (fuel + everything else) for a given time period, broken down by category.

Per-Truck CostsSee which vehicles are costing you the most
TotalsGrand total of all expenses for the selected period
Spot the red flags: If repair costs for one truck are way higher than the rest, it might be time to consider replacing it. The expense report makes these patterns easy to see.

Revenue Report — Your Profit & Loss

This is the big one. It takes your total income (invoices + other income) and subtracts your total expenses, so you can see exactly how much money you're actually making.

Shortcut buttons: At the top of the Revenue Report page, you'll find quick buttons to create an invoice, add income, add an expense, or add a fuel receipt — so you can fix any missing data without leaving the page.

Documents — Your Digital Filing Cabinet

Stop digging through emails and desk drawers. Upload your important business files here and they're always one click away. Go to Documents in the sidebar.

How to Upload a Document

Click "Upload Document" in the top-right corner and fill in:

Email Log — Send and Track Emails

Send emails to brokers and customers right from the portal, and know exactly what happened after you hit send. Go to Email Log in the sidebar.

Composing an Email

Click "Compose Email" and fill in the form:

MessageYour email body — keep it professional and concise

Click "Send" and the email goes out immediately.

Character restriction: Avoid special characters like < > \ # * : ; ^ in the email body — the system doesn't allow them and will show an error.

Tracking Email Status

Every email you send shows a real-time status so you know exactly what happened:

BouncedCouldn't be delivered — bad email address, full inbox, or server rejection

Click any email row to see the full details: sender, recipient(s), content, and exact timestamp.

Token — Highway Integration

Go to Token in the sidebar to view your integration credentials.

What Is the Access Token?

Your Access Token Key is a unique code that connects your Matrack TMS account with the Highway platform. This integration syncs your ELD (Electronic Logging Device) data with the TMS Portal.

Keep this private. Your token is like a password — don't share it with anyone who shouldn't have access to your account data. If you think your token has been compromised, contact support immediately.

Carrier Details — Your Company Info

This is where you manage your company's information in the system. Go to Settings → Carrier. The page has three sections — make your changes and click "Update" in each one.

Why this matters: This information appears on your invoices, tracking links, and communications with brokers. Keep it up to date so your customers can always reach you.

Users — Manage Your Team

Add everyone who needs access to the system and control what they can see and do. Go to Settings → Users.

Adding a New User

Click "Add User" and fill in their details:

User Roles & Permissions

Each user gets a role that determines what they can access in the system:

Extra Fields for Drivers

When you select the Driver role, additional fields appear:

Expiration AlertTurn on to get notified before their license expires
Never miss a renewal: Enable the expiration alert and the system will notify you before a driver's CDL expires — so you can handle renewals before they become a compliance issue.

Editing & Filtering Users

Click the edit button next to any user to update their info in a slide-out panel. Use the Category dropdown at the top to filter by role — show only drivers, only dispatchers, etc.

Change Your Password

Go to Settings → Change Password to update your login credentials.

Timezone — Set Your Local Time

Go to Settings → Timezone and pick the timezone that matches where your business operates. This affects all dates and times across the entire portal.

Select your timezone and click "Save Timezone." All timestamps in loads, dispatches, invoices, and reports will display in your chosen time.

Multi-state operations? Set the timezone to your main office location. Drivers in other time zones will see times in your office's timezone — keeping everyone on the same page.

Driver Reviews — Get Feedback on Your Drivers

Want to know how your drivers are performing from the customer's perspective? Generate a review link and send it to brokers or shippers — they can leave ratings and comments about their experience.

How to Get Reviews

Viewing Reviews

Click "Reviews" next to any driver's name to see all the feedback they've received. Each review shows:

Email to Broker — Share Integration Info

Need to send your broker your integration credentials so they can connect with your tracking data? This feature sends a pre-formatted email with everything they need.

How to Send It

What gets sent? The email includes your Access Token and integration details so the broker can set up their side of the connection. Check the Email Log to confirm delivery.
