Everything you need to run your trucking business in one place. This guide walks you through each feature step by step — no technical knowledge required. If you ever get stuck, our support team is just a call or email away.
Matrack TMS (Truck Management System) replaces spreadsheets, paperwork, and phone calls with one screen — manage your loads, trucks, drivers, money, and documents all in one place.
Enter where it's picking up, where it's delivering, what's in the truck, and how much you're getting paid. The system tracks it from start to finish.
Dispatch a load by picking which driver and which truck will handle it. Everyone on your team can see who's hauling what.
All your trucks and trailers listed in one place with VIN, make, model, year, and status. Buy a new truck or take one out of service — just update it here.
Log fuel receipts, track expenses, create invoices, and record income. Pull a report at month's end and see your profit in seconds.
Upload insurance certificates, permits, registrations, and contracts. When a broker asks for your COI, it's one click away.
Add admins, dispatchers, drivers, and office managers. Each person gets their own login and sees the parts relevant to their role.
Open Chrome, Safari, or Edge and go to the URL above.
Type your Username and Password.
Click "Sign In" — you'll land on your Dashboard.
When you're done for the day, look at the bottom of the left menu — you'll see your name and role displayed there. Click the logout icon next to your name to sign out safely. Always log out when using a shared or public computer.
The Dashboard is the first thing you see when you log in. Think of it as your morning briefing — a quick look at how your business is doing right now, without having to dig through anything.
Two big cards sit at the very top and give you an instant snapshot:
| Card | What You'll See |
|---|---|
| Blue — Equipment | Total vehicles in your fleet, how many are active, how many are in maintenance, and your total team member count. A quick health-check for your fleet. |
| Green — Loads | Active loads, loads in transit, dispatched loads, and delivered loads. Click this card to jump straight to your full loads list. |
Right below the summary cards you'll find shortcut buttons that save you clicks when you need to move fast:
Each button takes you directly to that page — no digging through menus.
A calendar view of the current week. Click any day to see:
Great for spotting busy days and planning ahead for the rest of the week.
Visual graphs that turn your data into insights:
The bottom half of the Dashboard shows three live data panels so you always know what's moving:
| Panel | What It Shows |
|---|---|
| Active Loads | All upcoming and in-progress loads — at a glance you can see what's moving, what's next, and if anything is behind schedule. |
| Fleet Table | Every truck and trailer with its current status. Filter by type (truck or trailer) or status (active, maintenance, idle) to find what you need. |
| Drivers Panel | A list of your active drivers on the right side of the screen. Quickly see who's available, who's on a run, and generate review links or tracking links. |
Every time you agree to haul freight from point A to point B, that's a load. A load captures everything about the shipment: who's sending it (Shipper), who's receiving it (Consignee), what's in the truck, when it needs to move, and how much you're getting paid.
This is probably the section you'll use the most, so let's walk through it carefully.
You'll run into some abbreviations and trucking terms throughout the system. Here's what they mean in plain English:
| You'll See | What It Means |
|---|---|
| FTL | Full Truck Load — The freight takes up the whole truck. One shipper, one delivery, no sharing space. |
| LTL | Less Than Truckload — The freight doesn't fill the whole truck. It might share space with other shipments. |
| Shipper | The company or person sending the goods. This is your pickup stop. |
| Consignee | The company or person receiving the goods. This is your delivery stop. |
| BOL # | Bill of Lading number — Think of it as the shipment's receipt. It's a document that says what's being shipped, where it's going, and who's responsible. Your broker or shipper usually gives you this number. |
| P/L | Pickup Location — The city and state where freight gets picked up. |
| D/L | Dropoff Location — The city and state where freight gets delivered. |
| FC | Freight Class — A number from 50 to 500 that categorizes the type of freight. We explain this in detail below — it's simpler than it sounds. |
| Hauling Fee | The main rate for the load — what you're getting paid to move this freight. |
| Fuel Surcharge | An extra charge on top of the hauling fee to cover diesel costs. Not every load has one — it's optional. |
| Accessorial Fee | Any additional charges like detention (waiting time), lumper fees (help unloading), liftgate, or special handling. |
| Declared Value | How much the freight is worth in dollars. This is used for insurance purposes. |
When you create a load, the system asks for a Freight Class. This is just an industry-standard way to categorize what's in the truck. It's a number from 50 to 500.
The simple rule: heavy, dense, easy-to-handle stuff = low class number = cheaper to ship. Light, bulky, fragile stuff = high class number = more expensive to ship.
Four things determine the class:
| FC Value | Density (lbs/cu ft) | Example Commodities | Cost Level |
|---|---|---|---|
| 50 | 50+ | Sand, gravel, nuts, bolts, steel bars | Lowest |
| 55 | 35–50 | Bricks, hardwood flooring, cement | Low |
| 60 | 30–35 | Car accessories, bottled beverages | Low |
| 65 | 22.5–30 | Car parts, bottled water, books | Low–Medium |
| 70 | 15–22.5 | Food items, automobile engines, restaurant equipment | Medium |
| 77.5 | 13.5–15 | Tires, bathroom fixtures | Medium |
| 85 | 12–13.5 | Crated machinery, cast iron stoves | Medium |
| 92.5 | 10.5–12 | Computers, monitors, refrigerators | Medium–High |
| 100 | 9–10.5 | Boat covers, wine cases, canvas items | Medium–High |
| 110 | 8–9 | Cabinets, framed artwork, table saws | High |
| 125 | 7–8 | Small household appliances, vending machines | High |
| 150 | 6–7 | Auto sheet metal, bookcases | High |
| 175 | 5–6 | Clothing, couches, stuffed furniture | Higher |
| 200 | 4–5 | Auto sheet metal parts, aircraft parts, aluminum tables | Higher |
| 250 | 3–4 | Mattresses, bamboo furniture, plasma TVs | Very High |
| 300 | 2–3 | Wood cabinets, model boats, kayaks | Very High |
| 400 | 1–2 | Deer antlers, lightweight furniture | Very High |
| 500 | < 1 | Gold dust, ping pong balls, bags of feathers | Highest |
| NA | — | Select this if the freight class is unknown or does not apply | — |
Every load has a colored status label so you can tell at a glance where it is in the process. Here's what each one means:
| Status | What's Going On | Your Next Step |
|---|---|---|
| Draft | You started entering the load but it's not live yet. Maybe you're waiting on details from the broker. | Go back and finish filling it out, or activate it when you're ready. |
| Active | The load is confirmed and ready to go. It's waiting to be assigned to a driver and truck. | Create a Dispatch to assign a driver and truck to it. |
| Undispatched | The load is active but hasn't been dispatched yet, or it's currently in transit. | Check if it needs a dispatch, or just keep an eye on it until delivery. |
| Completed | The freight has been delivered. This load is done! | Time to get paid — create an invoice if you haven't already. |
| Deleted | The load was cancelled. The shipment isn't happening. | Nothing to do. It stays in the system for your records but won't show up in active views. |
Go to to see all your loads. At the top of the page there are filters to help you find what you're looking for:
Click "Search" to apply your filters. Click "Reset" to clear everything and start over.
The results show up in a table. Here's what each column means:
Go to and click the "Create Load" button in the top-right corner. (You can also click "Create Load" from the Dashboard quick actions.)
The form has 5 sections. Just fill them in from top to bottom. Don't worry — if you miss anything, the system will tell you before it saves.
Start by telling the system what type of load this is.
| Field | What to Enter |
|---|---|
| Truckload | Pick FTL if the freight takes up the whole truck, or LTL if it's a partial load. Most of the time, your broker will tell you which one. |
| Load Creation Date/Time | Usually today's date and time. If you're pre-booking a load for next week, set it to that future date. |
| Reference # | Enter a tracking number so you can find this load later. This could be the broker's reference number or your own internal number. Example: BRK-20260217-001 |
Where is the driver picking up the freight? Enter the shipper's details here.
| Field | What to Enter |
|---|---|

| Hauling Fee | The main rate for this load — what you agreed on with the broker. Example: 3500 (for $3,500) |
| Fuel Surcharge | Extra charge for fuel, if you negotiated one. This is optional — leave it blank or enter 0 if there's no surcharge. |
| Accessorial Fee | Any additional charges like detention, lumper fees, or special handling. Enter 0 if there aren't any. |
Made a mistake or need to update something? No problem:
If a load falls through and the shipment isn't happening:
You've created a load. Now you need to tell the system who's driving it and what truck they're using. That's what Dispatch does. Until you dispatch a load, it's just sitting there with no driver assigned.
Go to to see all your dispatches. Filter by time range and status to find what you need.
| Column | What It Shows |
|---|---|
| Dispatch ID | Unique number assigned to this dispatch |
| Date | When the dispatch was created |
| Departure / Arrival | Where the driver is leaving from and going to |

| Truck | Which truck they're driving |
| Trailer | Which trailer they're pulling |
| Departure Address | Where they're leaving from (usually the shipper) |
| Arrival Address | Where they're going (usually the consignee) |
Click "Submit Dispatch" and you're done. The driver and truck are now assigned to that load.
Load Matching is your built-in load board. It pulls available loads posted by shippers, brokers, and other companies across the industry so you can find freight for your trucks. Instead of searching multiple external boards, browse everything from right inside TMS. Go to .
When you open the page, you'll see loads posted by companies looking for carriers. Use the filters to narrow down exactly what you need:
Click "Search" and the results show a table with each load's pickup and delivery locations, departure date, freight class, miles, and rate. This lets you compare loads and pick the ones that make the most sense for your fleet.
Load Matching helps you keep your trucks moving instead of running empty. Use it to:
